HousingMatchers (hereinafter: "HousingMatchers") processes personal data in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data: the General Data Protection Regulation / GDPR (hereinafter: "the GDPR"). The GDPR applies from 25 May 2018. This privacy statement explains which data is processed by HousingMatchers, for what purpose, and how long it is stored. It also explains what rights you have as a data subject and how you can exercise these rights.

Article 1. Applicability

  1. This privacy statement applies to the website (https://housingmatchers.nl) and the services of HousingMatchers.

Article 2. Data Subjects

  1. HousingMatchers processes the personal data of:

    • Visitors to the HousingMatchers website;
    • Users of our services, such as home seekers and housing providers;
    • Users who use the contact form on the website;
    • Persons who contact HousingMatchers via social media channels;
    • Cooperation partners;
    • Anyone who contacts HousingMatchers in any other way.

Article 3. Personal Data

  1. HousingMatchers processes personal data that is directly or indirectly provided to HousingMatchers by data subjects, including, but not limited to:

    • Account and contact details: name, email address, phone number, login details.

    • Profile information:

      • For home seekers: search criteria (such as location preference, type of home, size, price range, household composition), motivation, any preferences for co-tenants/buyers (if relevant).
      • For housing providers: details about the offered accommodation (address, characteristics, price, photos, availability), verification data (if applicable).

    • Communication data: all information that the data subject shares directly with HousingMatchers via email, phone, or the platform, and communication between Users via the platform (if facilitated).

    • Usage data: data about your use of the website and/or app and services, such as viewed homes and saved searches (see also Article 4.2 on cookies).

    • Financial data: if transactions take place via the platform (e.g., subscription fees, mediation fees), payment data may be processed, usually via an external payment provider.

Article 4. Purpose of Processing and Retention Period

Purpose of Processing

  1. The data provided by data subjects to HousingMatchers is processed for the purpose of carrying out its services, including:

    • Creating and managing a user account;
    • Facilitating the match between home seekers and housing providers based on the provided information and criteria;
    • Making profiles and housing offers visible to relevant Users (in accordance with the User's privacy settings);
    • Informing about services and relevant updates;
    • Providing customer support and handling questions or complaints;
    • Carrying out any transactions and related administration;
    • Complying with legal obligations;
    • Improving, analyzing, and securing the website, app, and services;
    • Preventing, identifying, or (judicially or extrajudicially) combating fraud, abuse, or violation of HousingMatchers' General Terms and Conditions.

Cookies 2. If you use our website or app, data may be indirectly stored via cookies or similar technologies. These may include functional, analytical, and tracking cookies. This data helps us optimize the website and app, improve the user experience and, with your consent, display more targeted information or advertisements. We ask for your consent for the placement of non-essential cookies. You can manage your cookie settings at any time via our website/app. This data is not primarily used to identify you personally, but to analyze and improve the use of the platform.

Retention Period 3. The processed personal data will be stored for as long as necessary for the processing purposes mentioned above, or as long as legally required. Account data will be stored as long as you have an active account or until you request its deletion (subject to any legal retention obligations). Data subject to a legal retention obligation, such as administrative data for the tax authorities, will be stored in accordance with the applicable legal terms (usually 7 years).

Article 5. Provision of Personal Data to Third Parties

  1. The primary purpose of HousingMatchers' services is to connect home seekers and housing providers. Your personal data (such as profile information, contact details, and details about accommodation or search criteria, depending on your role and settings) will therefore be shared with other relevant Users of the platform to enable matching and communication. You can influence what information is shared via your account settings.
  2. For the execution of its services, HousingMatchers may engage third parties (processors), such as hosting providers, mailing services, or payment service providers. Processor agreements are concluded with these parties to ensure that they also protect your data in accordance with the GDPR and process it only for the agreed purposes.
  3. Your data will not be provided to other third parties for commercial purposes without your explicit consent, unless HousingMatchers is legally obliged to do so.

Article 6. Rights of Data Subjects

  1. As a data subject, you have the following rights regarding the processing of your personal data:

    • Right to access: you can request which personal data HousingMatchers processes about you.
    • Right to rectification: if your personal data is incorrect or incomplete, you can request that it be corrected or supplemented.
    • Right to erasure ("right to be forgotten"): you can request that your personal data be deleted, under certain conditions.
    • Right to restriction of processing: you can request that the processing of your personal data be restricted, under certain conditions.
    • Right to data portability: you can request to receive your personal data in a structured, commonly used, and machine-readable format and/or to transfer it to another party.
    • Right to object: you can object to the processing of your personal data due to specific personal circumstances, or to processing for direct marketing purposes.
    • Right to withdraw consent: if the processing is based on your consent, you have the right to withdraw this consent at any time. This does not affect the lawfulness of processing before the withdrawal.

  2. You can submit a request to exercise these rights via the contact details mentioned in Article 8. HousingMatchers will respond to your request as soon as possible, but no later than within one month.

Article 7. Changes to the Privacy Statement

  1. HousingMatchers is entitled to amend this privacy statement. The most current version will always be published on the website (https://housingmatchers.nl/privacy). We advise you to consult this statement regularly. In the event of major changes, we will actively inform you.

  1. For questions and/or comments regarding this privacy statement, or if you wish to exercise your rights as mentioned in Article 6, you can contact HousingMatchers Support via [email protected].
  2. If you have a complaint about the processing of your personal data by HousingMatchers, we ask you to contact us directly. You also have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
